Cultural, Social, and Recreational Activities Policy & Procedure

1. Policy Statement

English Language Academy (ELA) is committed to providing students with opportunities to engage in cultural, social, and recreational activities as part of their language learning experience. These activities enhance students’ understanding of American culture, promote social integration, and offer real-life English practice in informal settings. Participation in activities is encouraged but voluntary, and students are informed in advance of upcoming events.

2. Procedure

2.1. Planning and Scheduling:

- Activities are planned at least two weeks in advance.

- Events may include cultural celebrations (e.g., Halloween, Fourth of July), restaurant visits for conversation practice, museum visits, and local festivals.

- A flyer with event details is posted on the classroom bulletin board and sent via email and/or WhatsApp group.

- The flyer includes date, time, meeting location, cost (if any), and required items.

2.2. Student Notification:

- Students receive event details through official communication channels.

- Students are reminded at least 3 days before the event.

2.3. Registration:

- Students sign a Participant Registration Sheet.

- A signed Acknowledgment & Permission Form is required before participation in off-campus activities.

2.4. Supervision:

- An ELA staff member or instructor accompanies students during off-campus activities.

- Safety guidelines are reviewed before the event.

2.5. Documentation:

- Attendance is recorded on the Sign-In Sheet.

- Photos (with student consent) may be taken for school records and promotional purposes.

- A Feedback Form is distributed after the event for student comments and suggestions.
