SCHOOL POLICIES Full-time (FT) Students
- Students must meet all enrollment and I-20 application requirements as outlined in the Requirements for Full-time (FT) Student Enrollment and 1-20 Application's sheet.
- Before joining classes, all students are required to take a Proficiency Level Placement Test to determine which classes best suit their needs.
- When registering with our school, students will be required to attend classes’ full time which are scheduled for 18 hours per week.
- Students must be punctual. Should a student be more than 30 minutes late he/she will be marked as on the attendance sheet. Repeated excessive lateness negatively affects academic performance and is unaccepted. (See Attendance/Absence Policies: FT Students)
- Students can miss a maximum two days per month. (See Attendance/Absence Policies: FT Students).
- Academic Progress Policy: In order to maintain enrollment, students must earn a final level grade of 70% or higher.
- Students must attend the classes they are enrolled in. No credit will be given for the group classes the student misses. Group classes cannot be converted into private classes.
- Students must attend our school as indicated on the I-20 form. Students can cancel or transfer to other school ELA provided they meet SEVIS requirements for transfer.
- All new F-1 students attend and pay a fee equal to every 4 week of tuition.
- All fees must be paid in advance.
- Tuition fee payments are due every month starting on the student's first day of class.
- A 10% late fee will be added to payments made 3 or more days after the due date. Students will not be allowed to attend class until payment is made.
- If the student cancels or postpones before classes begin, the registration fee is nonrefundable (as registration requires a lengthy administrative process).
- If the school cancels classes before they begin, the student will receive a full refund for registration and tuition fees.
- If the school cancels classes after they begin, the student will receive a refund for registration and tuition fees for the remaining class hours.
- It is mandatory that all students enrolled in classes have textbooks in order to participate in classes. Textbooks and materials are included in the tuition fee.
- If a student loses their books, they must purchase them immediately at reception in order to enter class. Students will not be permitted to attend ANY classes without books.
- Student s are asked to refrain from using cell phones or other electronic devices during class time other than as a reference tool. Phone calls are to be taken outside of the classroom area.
- Students are eligible for ONE annual vacation aft er completing a minimum of 26 weeks of classes. This vacation is optional and taken as ONE FULL academic term of approximately 9 - 16 weeks according to the specific Term (See School Calendar). Students may decide to take it or not. Partial term vacation is not an option. Tuition payments are due as usual every 4 weeks in order to maintain enrollment status. Annual vacation is not cumulative if not taken. Most students take their annual optional vacation during the summer months. Students must be mindful that there is only 1 ANNUAL OPTIONAL VACATION.
- Returned checks for insufficient funds will result in the student being charged a fee of US$35.00.
- ELA administrators may periodically enter classes unannounced to monitor instruction for training and quality assurance.
- Proper student behavior is mandatory (refer to Student Guidelines). Inappropriate behavior will not be tolerated. Any student misbehaving will be referred to the Academic Director for counseling. Continued misbehavior will result in the removal of the student from classes and a report added to the student's file which will be passed on to responsible parties. Students who are removed from classes due to inappropriate behavior or failure to comply with the policies and procedures outlined in the student handbook will not receive a refund or credit for the uncompleted portion and may be expelled from our program .
- Personal hygiene within group classes is extremely important (refer to Student Guidelines). Those students not adhering to proper personal hygiene will be privately informed of such importance. Continued non-adherence will result in the removal of the student from classes and a report added to the student's file which will be passed on to responsible parties.
- The average number of student s per class is from 2 with a maximum capacity of 16.
- ELA strives to provide a culturally rich class environment by combining students from different nationalities or student from different groups, yet it does not guarantee the mixture of student s.
- ELA reserves the right to cancel or reschedule any classes due to unforeseen circumstances that would risk the health or safety of its students or teachers.
- ELA may provide substitute teachers when necessary.
- The school will be closed on major national holidays such as Martin Luther King, Presidents Day, Memorial Day, Independence Day, Labor Day, Columbus Day, Veterans Day and Thanksgiving Day. Classes which fall on those days will not be rescheduled, nor will credit or refund be given to student s due to those circumstances.
- Students may re-schedule private lessons by requesting the change before 3 p.m. of the working day (Monday - Friday, excluding holidays) preceding the scheduled lessons. If notification is received later than the time indicated, or not at all, student will be charged for the lessons scheduled but not taken, regardless of the reason for wanting to re-schedule.
- In case of student dissatisfaction, ELA staff will make every attempt to rectify the root of the complaint. (See Complaint Procedures)
- Private student s may withdraw up to 3 days after the start date and receive a full refund for lessons not taken. Lessons taken will be charged at standard, private rates, currently $45/hour, which may be greater than the rate applied in the enrollment agreement. There will be no refunds for withdrawals after the third day.
- Group/Semi-private students may receive a complete refund if ELA is unable to form a group of the requisite size of four (4). There will be no refunds or schedule changes for group classes after the third day of class.
- In cases where a teacher calls to inform administration that they cannot arrive to class as scheduled and there is either insufficient time to schedule a substitute teacher or none are available on short notice then two courses or levels could be combined temporarily.
- Also, in the case where class size falls below four (4) students then two courses or levels may be combined permanently. Only student s from a higher level class would join a lower level class and need to repeat previously studied course material thereby ensuring that student s do not miss any part of the program. Student not wishing to join a lower level must transfer to another SEVP certified school and will be offered a refund for the unused tuition portion.
- To meet Department of Homeland Security regulations, ELA retains its student records for no less than three (3) years after the student's Last Date of Attendance (LDA). For up to three years after the student ' s LDA, he/ she can still request access to his/her file, provided that he/she allow ten (10) business days for administrative staff to process the request. If the school recommends reinstatement for a student who is out of status, the school must maintain records on the student for three years from the date of the denial if the reinstatement is denied. Student records are kept in locked filing cabinets in secure locations to maintain security of their information.
- All student s are responsible for maintaining enrollment status by following ELA and SEVIS policies. Failure to do so will result in the student's expulsion from our program and 1- 20 terminations in SEVIS (Student and Exchange Visit or Information System). Student s whose SEVIS record has been terminated due to expulsion must depart the United States immediately. (See Maintaining F-1 Visa Status at ELA)
- Enrollment into the school is contingent on the student's acceptance of the above policies.
- This policy is valid from January 1st, 2024 through December 31, 2025 and is subject to change at any time within this period.
- This tuition payment is valid for 1-4 weeks and must be completed within that time unless otherwise specified by ELA administration. Any fees for lessons not taken by the deadline will be forfeited.
By signing below I acknowledge that the contents of the 1- 20 Application Form are t rue and correct and constitute pages 1-3 of the Enrollment Agreement. I have read and accept the terms outlined above and agree with them. I also acknowledge receiving, reading, and understanding ELA' policies and procedures as out lined in the Student Handbook.
